Organize around tasks
Start with shipping, stalled tracking, sizing, cancellations, refunds and product use. Every entry needs its applicable conditions, steps and necessary order information. Do not copy private customer conversations into a shared knowledge base.
Make answers traceable
Give each policy an owner and review date. Update templates when fulfillment or product details change. Define authority for exceptions and compensation so support agents do not make promises operations cannot fulfill.
Provide an escalation route
State when to involve logistics, product specialists or a manager, and when the case will be checked again. Request only necessary information. Never request account passwords or full sensitive payment credentials through ordinary email.
Improve the source of the question
Feed recurring questions back into product pages and checkout. Sample whether replies were accurate and solved the issue. Ticket closures alone are not a sufficient measure of service quality.
